Space Admin - Confluence

The objective of this document is to let the Confluence Space Admins know a few of the crucial space settings and the areas where they have to be more careful however they should refer the Confluence Administrator's Guide from Jira to gain more knowledge. Also Getting Started in Confluence pdf by Jira is a complete guidebook for confluence users.

Guidelines

  1. DO NOT give an anonymous user access otherwise your project space will be open for the public. Refer below steps for guidance:
    1. You can see the Anonymous Access option by clicking over the Space Settings then over Permissions tab.
    2. In the bottom of the Permissions page, you will see Anonymous Access details.
    3. Make sure that all the permissions for Anonymous Access are marked (error) to avoid public access to the confluence space
      1. By default, Anonymous Access are always marked as (error). This settings page is accessible to only Space/JIRA/Confluence admins. See screenshot for reference 
  2. Only Space/JIRA/Confluence admins can access the space delete and page trash option. Make sure NOT to delete your confluence space since the action can not be undone as JIRA doesn't keep space backups however deleted pages can be retrieved from the trash by admins.

  3. Make sure that your Confluence permissions are updated as per the team and client need. You can add any Jira user group or individual user by clicking over the Edit Permissions as shown in the image below. This page is accessible to Space/JIRA/Confluence admins only.
  4. Space/JIRA/Confluence admins can link any JIRA software project with a confluence space. Click over the Integration tab in Space Settings then click Application Links to see the option to add Jira projects as shown in the image below:
     
  5. Space/JIRA/Confluence admins can link a slack channel with a confluence spaces. Click over the Integration tab in Space Settings then click `Slack Notifications` and follow the steps shown in the image below:
  6. Space/JIRA/Confluence admins should let the team know that they have to avoid uploading of heavy files in confluence since JIRA cloud version is having an unexpendable storage limit.
  7. As a Space/JIRA/Confluence admin, you can also add Space templates. Here is the link with more information. 
  8. Space/JIRA/Confluence admins can export all or selective confluence pages as a single HTML, XML or in PDF with customization available in look and feel space settings. More info
  9. Space/JIRA/Confluence admins should always execute the task of any change in user permission after getting it assigned to them via Jira ticket in CS or PD projects.
